Job description
I. Job Purpose
To ensure the efficient and accurate receipt, storage, issuance, and dispatch of all materials, including raw materials, consumables, spare parts, and finished goods, within the Khopoli facility. The role is critical for maintaining inventory accuracy, optimizing warehouse space, and adhering to strict safety and quality standards (5S, ISO, FIFO).
II. Roles & Responsibilities
1. Warehouse Operations & Inventory Management
Goods Receipt: Oversee the physical unloading, verification, and documentation of all incoming materials against Purchase Orders (POs) and Challans.
Storage & Issuance: Plan and organize the systematic storage of materials to optimize space (binning, racking) and ensure easy retrieval. Issue materials and spares to production/maintenance teams based on approved requisitions.
Stock Accuracy: Conduct regular physical stock verification, daily cycle counts, and periodic full stock audits to maintain high inventory accuracy. Investigate and reconcile any discrepancies immediately.
Inventory Control: Implement and strictly follow stock control methods such as FIFO (First-In, First-Out) for materials and consumables to prevent obsolescence.
2. Documentation, Reporting & System Compliance
System Entry: Ensure all material transactions (Goods Receipt Note/GRN, Goods Issue, Stock Transfer) are accurately and timely recorded in the Warehouse Management System (WMS) or ERP system (e.g., SAP).
Record Keeping: Maintain proper filing and archival of all store-related documents (Invoices, Challans, Requisitions, Gate Passes).
Reporting: Prepare daily, weekly, and monthly reports on stock levels, consumption rates, and potential slow-moving or obsolete items (SLOB).
Dispatch Documentation: If applicable, prepare all required dispatch documents, including E-Way Bills, invoices, and packing lists, ensuring compliance with logistics regulations.
3. Safety, Security & Housekeeping
Safety Compliance: Ensure the warehouse operates in strict adherence to company safety policies and local statutory regulations. Promote a safe working environment.
Housekeeping: Maintain high standards of warehouse organization, cleanliness, and orderliness based on the 5S methodology.
Security: Implement security protocols to prevent theft, loss, or unauthorized access to the warehouse and stock area.
4. Team & Coordination
Supervision: Oversee and guide warehouse assistants, laborers, and material handlers, assigning daily tasks and monitoring productivity.
Coordination: Liaise closely with Procurement, Production, and Maintenance teams to ensure materials are available as needed and meet quality standards.
III. Key Competencies & Skills
Proficiency in using an ERP system (SAP MM, Oracle) for inventory management.
Strong knowledge of warehouse best practices, stock-taking, and inventory control techniques (FIFO, 5S).
Excellent numerical ability and attention to detail for verification and reconciliation.
Basic working knowledge of MS Office (Excel, Word).
